Coordinator, Informatics-IHE Liaison

Position Purpose

The purpose of this position is to serve as the liaison for HIMSS with external stakeholders and supporting the HIMSS-sponsored Integrating the Healthcare Enterprise (IHE) International domains, planning and technical committees, the IHE USA Board, prospects and members, and other informatics and HIMSS initiatives. 

Primary Accountabilities

  • Fulfill the role of Secretariat to the HIMSS-sponsored IHE domains and committees. Understand and ensure adherence to the IHE International and IHE USA Governance, By-Laws and Articles of Incorporation. Support, implement, and enforce IHE International policies and procedures, provide first-line customer service and serve as the primary point of contact for internal and external stakeholders for HIMSS sponsored-IHE domains and committees; monitor committee discussions to ensure compliance with By-Laws and address issues as necessary; manage the IHE publication cycle and all related deliverables; support and monitor the budgets for HIMSS-sponsored IHE domains and committees; manage membership and recruitment for the HIMSS-sponsored IHE domains and committees.
  • Managing the HIMSS-sponsored IHE domains and related activities and serve as the primary point of contact for all HIMSS-sponsored IHE International domains, volunteers and co-chairs providing customer service and support. Manage the general operations and on-going maintenance to support the IHE International domains and committees. Develop and maintain templates, agendas, Wiki site, rosters, list serves and other reports and document repositories including, but not limited to GoogleGroups, FTP sites, Google Drive, SharePoint portal sites and other tools as needed. Develop news content and post on IHE-related websites. Develop, support and execute IHE Committee processes and procedures to enforce IHE Governance principles. Support and execute marketing efforts to grow and recruit new IHE International and IHE USA members.
  • Manage the HIMSS-sponsored IHE International domains to ensure the committees adhere to the IHE International governance, meet key milestones in the publication process including ballots, public comment, elections, committee milestones, voting procedures, volunteer recruitment and on-boarding, and IHE International governance. Responsible for the proper coordination of all face-to-face meetings, event logistics, and budgets including face-to-face meetings located in the U.S. and one internationally each year.
  • Document action items and provide direction to IHE International and/or IHE USA committee members, staff and volunteers in order to meet key deliverables; assist with the processing and tracking of new and existing IHE International members.
  • Engage HIMSS service departments in the development and implementation of event logistics, tools, resources and work products to support the IHE North American Connectathon, IHE Committee Meetings, and HIMSS Annual Conference
  • Marketing and promotional content, project plans, event logistics and shipping, volunteer recruitment and training.
  • Coordinate with Finance to monitor and implement all IHE contracts, invoices and payments as directed by manager.
  • Process invoices and bills for IHE USA, IHE North American Connectathon contractors and other IHE activities sponsored by HIMSS for approval by manager.
  • Provide staff support for the IHE North American Connectathon, and the IHE International educational webinar series. Logistics include managing the project plan, volunteer speakers, registration, marketing, event logistics and services with HIMSS Meeting Services team and outside stakeholders.
  • Relationship management with a wide range of peer organizations: Secure meeting venues and Memoranda of Understanding for one face-to-face meeting outside the U.S. annually and oversee four face-to-face local meetings with support of HIMSS Meeting Services team. Manage communications and logistics with the other co-sponsoring member organizations of the HIMSS-sponsored IHE domains such as the American College of Clinical Engineering (ACCE), the American College of Physicians (ACP), the Radiological Society of North America (RSNA) and other sponsors that may be added.Logistics include selection of meeting locations, food & beverage, hotel block, communicate meeting logistics. Manage schedule/communicate dates for face-to-face meetings and conference calls.
  • Support and monitor HIMSS IHE budgets: General ledger reconciliations, gather input from team and prepare forecasts; serve as the primary “Go-To” person for all IHE finance and budgetary-related issues, including but not limited to invoice processing, contract renewals, forecasting, preparing audit materials, and annual budget reconciliations.

Required Qualifications

  • Bachelor’s degree in business administration, communications, healthcare management, or equivalent experience
  • Experience with healthcare, informatics, and/or related field highly desirable
  • A minimum of three (3) years of proven experience with project management, budget management, coordination of multiple projects, groups and related activities especially those with technical content
  • Highly efficient mastery of IT/communication applications including:
  • Expert level user in Microsoft Word (polished documents), Excel (reporting and project management), SharePoint, PowerPoint (professional presentations), and Outlook (mail and cross-time-zone scheduling)
  • Expert user of web-based technologies such as online conferencing and collaboration tools, web-based file depositories, basic HTML/webpage editing.
  • Proven track record of experience with delivery of timely, high quality customer service and effective communication to customers, collaborators, volunteers and co-workers
  • Outstanding analytical skills with ability to achieve results in a complex environment which includes strong organizational skills, exemplary oral and written communication, detail orientation and the ability to work collaboratively with external and internal team members
  • Strong planning and time management skills, with the ability to determine effective and efficient strategies to coordinate and accomplish assigned work
  • Must be able to understand and communicate complex technical content related to IHE and in order to integrate department materials and to coordinate committees
  • Previous work with volunteers, committees and large groups is strongly preferred
  • Occasional work travel is required
