Streamlining Workflows and Processes to Improve the Patient Experience Case Studies

The three award-winning case studies submissions show how they streamlined workflows for operating room (OR) log data, optimized their therapy plan ordering process, and increased compliance in the assessment, ordering and administration of VTE prophylaxis.

Case Studies

1. Improving OR Charge Capture

Cleveland Clinic Abu Dhabi recognized 74% of OR case logs were not posted in under 30 days in the first nine months of opening, resulting in a potential loss of revenue up to 70%. This impacted patient experience due to not being able to produce a final bill and an inefficient process causing waste of both supplies and personnel utilization. A root cause analysis revealed 35 root causes in relation to the delays in log posting and the top root causes were prioritized towards process optimization. The organization worked to address this by designing IT interventions to enhance systems through new role creations, training, and process changes for creating standard workflows.

2. Therapy Plan Ordering Optimization

Cleveland Clinic Abu Dhabi recognized there was no effective computerized order process for patients requiring recurring therapy treatments in the Infusion Center. The initial length of stay (LOS) was 142 minutes, which when reduced by administration time, leaves 112 minutes of waiting for medication arrival. The organization worked to address this by designing the therapy plan functionality which consists of pre-defined sets of orders that are administered to a patient during multiple encounters at specified intervals. These plans were implemented for infusions, clinic administered medications and dialysis.

3. VTE Ordering Optimization

Cleveland Clinic Abu Dhabi recognized there was inadequate compliance with evidenced-based assessment, ordering and administration of VTE prophylaxis in eligible inpatients. The organization worked to address this by optimizing VTE ordering established on evidence-based guidelines and implementing IT solutions with risk assessment tools, assessment flowsheets and more.
